About the role
Kentel Construction is seeking an organized and dependable Construction Operations & Marketing Coordinator to support our administration, project systems, invoicing and marketing.
This is a varied, home-based position combining office administration, Buildertrend and invoicing support, project documentation and digital marketing.
The successful candidate will work closely with the company owner and project team to keep information organized, documentation current and recurring responsibilities moving forward.
This position would suit someone who enjoys detail-oriented work, appreciates variety and is interested in contributing ideas.
Key responsibilities
Administration and operations
• Monitor the general company inbox and respond to routine inquiries.
• Prepare correspondence, forms and company documents.
• Maintain subscriptions, renewals, records and recurring administrative requirements.
• Organize project files, contracts, invoices, receipts and supporting documentation.
• Follow up with clients, suppliers, subcontractors and team members when information is required.
• Help maintain and improve administrative systems and workflows.
Buildertrend and invoicing support
• Upload supplier and subcontractor invoices, receipts and supporting documents into Buildertrend.
• Organize project costs and documentation for client invoicing.
• Confirm invoices and receipts are assigned to the correct project and cost category.
• Track missing invoices, receipts, approvals and other required information.
• Assist with budgets, purchase orders, cost records and project documentation.
• Maintain accurate and current project information.
Marketing and communications
• Visit active and completed projects to take photographs and collect content.
• Organize project photographs and information for marketing use.
• Prepare and schedule regular social media content.
• Assist with website updates and online business listings.
• Monitor online reviews and prepare draft responses.
• Help maintain consistent company messaging across digital platforms.
• Review basic marketing results and identify opportunities for improvement.
• Coordinate with outside photographers, designers or marketing providers when required.
Qualifications
• Previous experience in administration, office coordination, project support, marketing or a related position.
• Strong written and verbal communication skills.
• Excellent organization and attention to detail.
• Comfortable using spreadsheets, cloud-based software and digital filing systems.
• Able to work independently and manage recurring deadlines.
• Professional when communicating with clients, suppliers and subcontractors.
• Basic understanding of invoices, receipts and cost tracking.
• Legally entitled to work in Canada.
Experience considered an asset
• Construction, trades or professional-services administration.
• Buildertrend or similar construction-management software.
• Canva, WordPress or social media scheduling platforms.
• Photography, content creation or digital marketing.

Work arrangement
This is a home-based position with regular communication and collaboration with the company owner and project team. Occasional in-person meetings, coworking sessions and visits to job sites throughout Whistler, Pemberton and the Sea to Sky Corridor will be required.
A valid driver’s licence and reliable personal vehicle are required. Approved work-related travel will be reimbursed through a mileage allowance in accordance with company policy.
